Academic Standing

Transcript Notations

The academic standing of a student will form part of his or her permanent academic record and will appear as a notation on enrolment verification forms, statements of grades and official transcripts.

President's Honour Roll

See policy C.3 which can be viewed at the Library or on-line.

A student in a semester-based program who has completed 15.0 or more semester credit hours and who has a CGPA of 3.75 or better and a TGPA of 3.00 or better for the most recent period of enrolment, will be placed on the President's Honour Roll. A student in a program for which letter grades are not assigned will be placed on the President's Honour Roll at the completion of their program upon the recommendation of the program coordinator or instructor in recognition of outstanding achievement or performance. The Kwantlen University College President will send a letter of commendation to each student placed on the President's Honour Roll.

Good Academic Standing

All students are assumed to be in Good Academic Standing unless stated otherwise on their academic record.

Academic Standards for Programs in which Letter Grades are Assigned

See policy C.23 which can be viewed at the Library or on-line.

All students attending Kwantlen University College are expected to maintain an acceptable standard of academic achievement. For programs in which letter grades are assigned, a minimum Cumulative Grade Point Average (CGPA) of 2.00 is expected. Failure to meet this minimum academic standard will result in corrective action and can lead to permanent withdrawal from Kwantlen.

The academic standing of a student will form part of their permanent academic record, and will appear as a notation on enrolment verification forms, statements of grades and official transcript. All students are assumed to be in Good Academic Standing unless their academic record states otherwise.

The academic standing for all students who have completed a minimum of 9.0 semester credit hours, and who are enrolled in programs in which letter grades are assigned, will be determined at the end of each semester.

Students who do not maintain a Cumulative Grade Point Average (CGPA) of 2.00 must achieve a Term Grade Point Average of 2.00 or better each semester until their CGPA is 2.00 or above. Students who do not achieve this will progress through the Academic Status reviews as detailed below, from Academic Probation to Required to Withdraw to Readmitted on Academic Probation to Academic Suspension.

Academic Probation

A student who has completed a minimum of 9.0 semester credit hours and who has achieved a CGPA of less than 2.00 is placed on Academic Probation. This also applies to students on Academic Probation from a previous semester who have completed more than 9.0 semester credit hours and who achieve a TGPA of 2.00 or better but whose CGPA remains less than 2.00. These students will continue on Academic Probation as long as their TGPA is 2.00 or above. When the CGPA reaches 2.00, students are restored to Good Academic Standing. Students on Academic Probation (first time or continuing) must achieve a minimum TGPA of 2.00 in order to avoid moving to the next academic status, which is Required to Withdraw.

Restored to Good Academic Standing

A student who is on Academic Probation and who has completed a minimum of 18.0 semester credit hours will be restored to Good Academic Standing provided both the TGPA and CGPA are 2.00 or higher.

Remain on Academic Probation

A student who is on Academic Probation and who has completed a minimum of 18.0 semester credit hours will remain on Academic Probation if either:

a. the TGPA is 2.00 above but the CGPA is less than 2.00 or
b. the CGPA is 2.00 or above but the TGPA is less than 2.00 (this may occur if students are repeating courses during the probationary period).
Required to Withdraw

Students who have completed a minimum of 18.0 semester credit hours and who were placed on Academic Probation in a previous semester will be Required to Withdraw if they do not achieve a TGPA of 2.00 or better. Withdrawal is for a minimum of six (6) months. Students who registered in courses before the end of a term will be withdrawn from their courses and all fees paid for that semester will be refunded. Re-admission to the University College is not automatic. Students must complete an Application for Re-admission and submit it along with a completed Educational Plan (see below) and a $30.00 reinstatement fee no earlier than the time period specified in their required to withdraw letter. If the application is approved, students will be placed on the next academic status, which is Re-Admission on Academic Probation.

Re-Admission on Academic Probation

Students will continue on this status as long as they maintain a minimum TGPA of 2.00 until their CGPA is 2.00 or better, at which time they will be restored to Good Academic Standing. If the TGPA is less than 2.00, the student will be placed on the next academic status, which is Academic Suspension.

Academic Suspension

Students who have been Re-Admitted on Academic Probation and who have completed a minimum of 27.0 semester credit hours will be placed on Academic Suspension if they have not achieved a minimum TGPA of 2.00 while the CGPA remains less than 2.00. The suspension is for a minimum of five (5) years and re-admission is by appeal.

Educational Plan

Students applying for re-admission after being Required to Withdraw or placed on Academic Suspension must submit an Educational Plan together with the Application for Re-admission and the $20.00 reinstatement fee. The Educational Plan form is available from any campus Admissions Office and must be submitted no earlier than the time period specified in the Required to Withdraw or Academic Suspension letter. This time period is usually during the six weeks prior to the application cut-off date for the semester in which the student is eligible to return. When completed, the Educational Plan must include the following information in detail:

  • reasons for the poor performance
  • steps taken, or that will be taken, to rectify the problem(s)
  • major activities since leaving the University College
  • any activities undertaken to upgrade academically or improve study skills
  • educational goal, including reasons for changing or not changing the goal

The Registrar (or designate) will review the Educational Plan. The student may be required to discuss it further, either by telephone or in an interview with the Registrar (or designate), or may be referred to Counselling and Advising Services.

Academic Renewal

See policy C.31 which can be viewed at the Library or on-line.

Kwantlen is committed to providing its students with opportunities to succeed in their academic studies. For various reasons, not all students are able to avail themselves of these opportunities when they are initially enrolled at Kwantlen. A student who has not been enrolled at Kwantlen University College for a minimum of five (5) years and who had a Cumulative Grade Point Average of less than a 2.00 at the end of the last term of attendance may apply in writing to have grades earned for all courses (including those passed) taken previously at Kwantlen eliminated from the computation of her or his CGPA. Academic Renewal may only be requested once and will be granted at the discretion of the Registrar or designate.

Students will be advised that other post-secondary institutions may or may not recognize Academic Renewal and may include these courses in their GPA calculations when determining eligibility for transfer.
