Support Letters for IRCC Applications

As an international student, you might need specific support letters for IRCC applications or other purposes. Please review the details below on the types of letters available and how to request them. If you require a letter not listed here, please email internationalstudents@kpu.ca with the details of your request. Note that, except for the Study Permit Restoration Letter and the Post-Graduation Work Permit (Completion Letter), all other letter requests have a standard processing time of 20 business days. The letters will be emailed to your KPU email account as a PDF document.

Authorized Leave Letter

In cases of extenuating or unforeseen circumstances that significantly impact a student's academic progress, international students may request an authorized leave. Students may be required to submit supporting documentation for review. If the request is approved, the student will receive an Authorized Leave Letter. Please note that receiving this letter does not exempt the student from complying with IRCC policies and requirements.
 
You must apply for an Authorized Leave letter before the term you will be on leave.Meet with an International Student Advisor. Bring with you any supporting documents that demonstrate the need for an authorized leave.

Confirmation of Enrolment (COE) Letter

The COE is a standard letter, which will include information about the student’s current enrolment, such as Faculty, program, number of credits the student is currently registered in and credits completed.

The letter does NOT require the signature of the Registrar or International Student Advisors. 

NOTE: Enrolment verifications are not a substitute for a transcript; they do not include grades, credentials, etc.

Confirmation of Enrolment (COE) - Special Purpose Letter

It is a personalized letter with detailed information about your academic enrolment, specifically your academic progress and expected completion date.

It is subject to a $20 fee.

  • To extend your Temporary Resident Visa if you are NOT registered in any courses for the current semester.
  • If you require a Military Service Letter.
  • To support IRCC’s requests for additional information for study permit extension applications.
  • For spousal work permit extension.

Meet with an International Student Advisor to determine if you need a Confirmation of Enrolment (COE) Special Purpose letter and to obtain the request form, if required.

Once processed, the International Student Advisor will email the PDF letter to your KPU email account.

Letter of Explanation – Immigration Purposes

A Letter of Explanation (LOE) is a personal statement that students may prepare in a letter format and include in their immigration applications.

A letter of explanation can help students with the immigration process in Canada, provide individuals with the opportunity to give explanations, clarify any discrepancies, and demonstrate their eligibility for immigration applications. 
 

This is an optional letter written by the applicant. For examples of when to include a LOE with your application, please refer to the following document.This letter must be written by the applicant. If you require assistance in drafting the letter or are uncertain whether including this letter will benefit your application, you may consult with an International Student Advisor. 

Study Permit Extension Letter

What is it?When to Request the Letter?How to Request?

It is one of the required documents to support your study permit extension application. The letter will include information about your academic enrolment and expected completion date.

Note: you must apply to extend your study permit through IRCC before it expires. If you have done so, as long as you remain in Canada, you can stay and study in Canada under Maintained Status until a decision is made to your application. You may also register for courses at KPU under Maintained Status.

Note: please ensure that you extend your MSP along with your study permit extension, as your MSP will most likely expire at the same time as your study permit. 

If your study permit is expiring within 180 days AND you

  • have registered for courses this current semester; OR
  • have registered for courses or intend to study in an upcoming semester
  • Remember! If you are in your last term and your study permit is valid only until the end of the term, you must still apply for an extension (ex. your semester ends in April and your study permit expires end of April).

Complete the online Study Permit Extension Letter Request Form.

Once you have successfully submitted the online form, you will receive an email confirming the receipt of your online form and your letter will be issued to your KPU email account within 20 business days.

Study Permit Restoration Letter

What is it?When to Request the Letter?How to Request?
The Study Permit Restoration letter will include details about your program, last term attended, and projected completion date. The letter is a required document when applying for the restoration of your student status.

If you fail to extend your study permit before your current one expires, you will be out of status. If this happens, you must apply for a restoration of your student status within 90 days of having lost your status.

Remember, you must stop studying and/or working when out of status. You may resume your studies and work once you receive a new study permit.

Email internationalstudents@kpu.ca with the subject line, ‘Study Permit Restoration Letter’. Please remember to include your student ID number as well.

Post-Graduation Work Permit Letter (Completion Letter)

What is it?When to Request the Letter?How to Request?
It is a personalized letter confirming the completion of your program requirements, issued after all steps of the graduation process are completed. This includes final approval by the Senate. A detailed timeline of graduation can be found at www.kpu.ca/graduation.You do not need to request this letter. It will be automatically emailed to your KPU email account within 3-5 business days after you have been approved by the Senate to graduate and there are no holds on your account.

You do not need to submit a request for a Post-graduation Work Permit letter, this process will be automated if you have submitted a graduation application and are approved to graduate. Your PGWP letter will be issued to your KPU email account within 3- 5 business days after you have been approved by the Senate to graduate.

* Important: make sure you submit your Graduation Application early and according to the deadlines posted by the Graduation Office.
